About this event

All are welcome to come and meet the current Committee, volunteer for a position to get involved, or to just meet the future 2019/2020 Committee. 

The South Branch Graduates, Students, and Apprentices (GSA) Committee is comprised of volunteers who help organise a range of events across Hampshire including courses, workshops, lectures, debates, site visits, competitions, socials, etc. to provide a format to network, gain knowledge and progress towards their professional qualifications. 

Additionally, the Committee supports the Membership Team, inspires the next generation through STEM activities, organises local competitions and promotes Civil Engineering beyond the ICE community. 

Graduates, Students and Apprentices represent the future of the industry and hence it is vital that we have a voice within the Institution and organise activities relevant to our needs and professional development. Give your IPD, CPD and professional network a boost.

Programme

The Roles

Chair

  • Provide leadership to the GSA Committee and represent the regional Graduates, Students and Apprentices, ensuring all who wish to express an opinion are heard. 
  • Drive a strategy for all committee meetings, courses, workshops, competitions, lectures and networking events, including content, dates, and locations. 
  • Chair monthly GSA Committee meetings in a well-structured, effective, and timely manner. 
  • Maintain an awareness of ICE affairs and engage with wider ICE Regional meetings, such as South Branch (Hampshire and Isle of Wight) Committee Meetings and monthly conference calls with other South East England regional Chairs (Thames Valley, Kent and East Sussex, and South Branch Brighton and Gatwick). 
  • Encourage others to engage with ICE activities and build relationships with other professional bodies for joint events. 
  • Following the delivery of the next AGM and the associated succession planning, provide a review of the served term, ensuring positive feedback and lessons learned are communicated to the incoming Chair and committee.

Vice-Chair 

  • Provide leadership to the GSA Committee and represent the regional Graduates, Students and Apprentices, ensuring all who wish to express an opinion are heard. 
  • Provide support to the Chair and the rest of the GSA Committee. 
  • When the Chair is unable to, chair monthly GSA Committee meetings in a well-structured, effective, and timely manner. 
  • Maintain an awareness of ICE affairs and encourage others to engage with ICE activities.

Honorary Secretary 

  • Manage the database of members and contact lists, including adhering to the General Data Protection Regulation 2016/679 (GDPR). 
  • Prepare meeting agendas in consultation with the Chair, Vice-Chair, Treasurer and Events Coordinator. 
  • Ensure arrangements for meetings are met, including booking the room, submitting marketing material to the Communications Lead and the ICE Regional Support Team for website upload, arranging for equipment and refreshments, and accommodating those with special requirements (dietary, access, etc.). 
  • Minute meetings and circulate the draft minutes to the Chair, Vice-Chair, Treasurer and Events Co-ordinator for approval, before issuing to all on the GSA Committee mailing list within one week of the meeting. 
  • Circulate agendas, minutes, supporting documentations, event posters and information on upcoming ICE events in good time to the GSA Committee mailing list, writing all correspondence in a professional and enthusiastic manner.

Web and Communications Co-ordinator 

  • Maintain the GSA Committee social media accounts (LinkedIn, Facebook, and Twitter), regularly promoting planned events, encouraging social media interactions, and monitoring any comments raised. 
  • Actively grow these accounts to promote the GSA Committee and Civil Engineering.

Events Co-ordinator 

  • Support the Chair in managing the Events Calendar, ensuring that events are delivered in accordance with the ‘Guidance for Event Organisation’, producing a programme to monitor progress and update at monthly GSA Committee Meetings. 
  • Provide support and guidance to all GSA Committee members for the organisation and logistics of proposed events. 
  • Maintain a register of appropriate venues and respective contacts for bookings.

Social Secretary 

  • Organise a Winter and Summer social event for Graduate, Student and Apprentice members. 
  • Organise a sponsored event to raise money for a chosen charity.

University Co-ordinator 

  • Build relationships and contacts with the University of Portsmouth, the University of Southampton, and Southampton Solent University, maintaining contact details for key academic staff. 
  • Promote GSA Committee Meetings and ICE events to applicable academic contacts at the University. 
  • Organise a ‘Grab-a-Grad’ event at both the University of Southampton and the University of Portsmouth.

Student Representative (Portsmouth, Southampton, and Solent) 

  • Promote GSA Committee Meetings and ICE events to applicable Students at the University. 
  • Encourage other Students to engage with ICE activities and act as a point of contact for student related queries. Page 4 of 4 
  • Communicate ideas and opinions of Students to the GSA Committee and report back to academics on GSA Committee outputs.

STEMNET Representative 

  • Build a relationship with STEMNET in the Region. 
  • Keep up to date with STEMNET events and report back to the GSA Committee, encouraging GSA Committee involvement. 
  • Attend at least two STEM events for the year. 
  • Organise a STEM event for the GSA Committee, which could include the hire of an ICE educational tool.

GSNet Representative 

  • Liaise with the current Graduates and Students Network (GSNet) Regional Representative and ensure information is communicated between the committee and GSNet. 
  • Every 3 years become the GSNET Regional Representative for the South East England Region (Thames Valley, Kent and East Sussex, South Branch Brighton and Gatwick, and South Branch Hampshire and Isle of Wight). 
  • Regularly communicate between the South East Region GSA Committees to ensure they are kept informed of national Graduate and Student matters. 
  • Attend national GSNet meetings on behalf of the South East Region, gathering, reporting and representing the views of the collective South East England GSA Committees.
